View Full Version : Automating a document for customers

I have narrowed down my situation to where all I have to do is create 6 different types of documents:
Category A or B
Types 1,2, or 3.
These documents are all ready formed, the processing is just placing the variables for different customers.

I need to be able to process the document request and then have it reviewed (by someone else) for approval and then sent electronically to the customer (I would prefer to have the customer actually download the document for privacy/security reasons). I also want to have a time lapse built in that I can set and change. I don't want the customer to get the document instantly (the reason being I charge over $1000 and the review does allow for quality assurance)

Does anyone know of any tool that can meet this requirement?

I find this an interesting question that helps me think about my own documents and their distribution.

However, I can't understand the problem. Can you elaborate? I mean, if there are 6 combinations, then make 6 documents... If they are custom, make a new one every time....

But getting it to the customer by download, can't that be done trough google docs?

yes there are six different documents. I have the computer set up to do the work. The problem is I want it to happen automatically without me doing anything. The customer is only buying one document. Most customers will not know which one they need. That's ok, because the questions I ask on the order form will dictate what document they need.

What I want is a workflow tool that will autocreate the appropriate document and automatically send it to the customer (or notify the customer to download) with a 48 hour time delay to have someone review the document.

Does anyone know of a workflow tool that can do this?

Hi Tim,

Sounds like you should be able to do this with an Autoresponder
(or actually one per document)
and either attaching the file to the outgoing e-mail
or provide a download link to the client.

Not sure how you are currently processing payments but you
can integrate an autoresponder with the payment process.

The client confirms his e-mail

Then you can set whatever time intervall you want before the
first e-mail is sent to the client.

This would also allow you to build up a paying customer list
that you can market to in the future if you choose to do it like that.

You can also include user provided data inside of the email depending on your sales or capture form.

This would be one of the quickest solution I can think of and possible even the simplest. Other solution involves various membership scrips etc.

thank you both for the replies. I'm using WordPress as the content manager and paypal to process payments.

Google docs sounds interesting way to upload. The autoresponder is a great idea and I'm currently looking into this. I do not mind spending money for what ever tools I need to use, although free is better!

To anyone else reading this thread, the technical names for what is being discussed embedded forms and fillable forms. For you MBA's, the workflow tool would be called Business Process Management or possibly Enterprise Change Management.

I've learned a lot in the 2 days I have been researching this. Hopefully a conversation or two with some friends in the IT world will speed everything up for me. I will post everything I find out.

Check with your webhost to see if autoresponders are included with your package. I use 1&1 for my websites, and they allow you to setup any email address as an autoresponder. You can't send attachments, but you can send links. I use it to send a PDF form that I have on my website.
